Applies to: All mobile applications published by individual veterinary clinics that are powered by the Meropet platform.
This privacy policy describes how the Meropet platform handles data on behalf of participating veterinary clinics (“Clinics”). Each Clinic’s branded mobile application (e.g., “Happy Paws Vet App”, “City Animal Clinic App”) uses the same Meropet backend services. This policy applies to all such applications.
1. Information We Collect
When you use any Clinic’s app powered by Meropet, the following information may be collected:
- Client Information: Name, address, phone number, email address.
- Pet (Patient) Records: Name, species, breed, age, medical history, vaccination records, lab results, diagnoses, and treatment plans.
- Appointment Data: Scheduling details, reminders, visit notes.
- Usage Data: Staff activity logs, login timestamps, and system interaction data to improve performance.
2. How We Use Information
- To provide electronic medical records (EMR) and clinic workflow management.
- To send appointment reminders, vaccination alerts, and follow-up notifications.
- To generate lab reports and treatment summaries.
- To analyze clinic performance and improve the Meropet platform.
- To comply with legal or regulatory obligations.
3. Data Security
We implement industry-standard security measures, including encryption in transit (TLS) and at rest, access controls, and regular security audits. Access to data is restricted to authorized clinic staff and Meropet support personnel only on a need-to-know basis.
4. Data Sharing & Disclosure
Meropet does not sell or rent any personal or medical data to third parties. Data may be shared only in the following limited circumstances:
- With the specific veterinary clinic that owns the data (the clinic is the data controller).
- When required by law, court order, or regulatory authority.
- With service providers (e.g., cloud hosting, analytics) who are bound by strict confidentiality agreements.
5. Data Storage & Retention
All data is stored on secure servers. We retain client and pet records for as long as the clinic maintains an active account with Meropet, or as required by veterinary practice laws (typically 5–7 years after last visit). After that, data is anonymized or deleted.
6. Your Rights & Choices
Depending on your location (e.g., GDPR, CCPA), you may have the right to:
- Access, correct, or delete your personal information.
- Object to certain data processing.
- Request a copy of your pet’s medical records.
To exercise these rights, please contact the veterinary clinic directly first (they are your primary care provider). If they cannot resolve your request, contact Meropet using the email below.
7. Children’s Privacy
Our apps are not intended for children under 13 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with data, please contact us immediately.
8. Third-Party Services
Meropet may use trusted third-party services such as cloud hosting (e.g., AWS, Google Cloud), push notification providers, and analytics tools (e.g., Firebase). These services have their own privacy policies, but we ensure they are compliant with data protection laws.
9. Responsibility of Clinics (Data Controllers)
Each veterinary clinic using Meropet is responsible for:
- Obtaining proper consent from clients before collecting pet/owner data.
- Maintaining login confidentiality for their staff.
- Complying with local veterinary and medical privacy regulations (e.g., HIPAA if applicable, PIPEDA, etc.).
